Prerequisites

Before you start, have these ready:

  • A Help Genie account. The free plan works for testing. You’ll want a Professional plan to deploy on a permanent phone-accessible link or to white-label the genie with your branding. Start at helpgenie.ai.
  • Your appliance manuals. PDFs are ideal. Most manufacturers publish them on their websites if you don’t have them already. Collect the manuals for every appliance in the home: oven, rangehood, dishwasher, cooktop, washer, dryer, HVAC system, hot water unit.
  • Any warranty information. If you have warranty registration cards or service contact details, turn these into a simple text document. The genie can reference them.
  • 30-60 minutes. This is a beginner build. You don’t need a developer.

Step 1: Collect and Organise Your Knowledge Base

Your genie’s answers are only as good as the documents you give it. Spend 10 minutes here and you’ll save hours later.

Action: Create a folder on your computer called something like “123 Maple Street Genie Docs.” Drop in:

  • Every appliance PDF manual
  • A short text document with appliance brand names, model numbers, and the warranty contact for each
  • Any house-specific notes (for example: “The hot water unit is in the garage, not the laundry”)

Why this matters: The genie reads these documents to build its knowledge base. Specific model numbers and house-specific details make answers far more accurate. A generic oven manual plus the specific model number turns “check your manual” into “press and hold the Clock button for three seconds, then use the up arrow to set the hour.”

Verifiable result: You have one organised folder with all appliance manuals and a notes document ready to upload.


Step 2: Create Your Genie and Upload the Knowledge Base

Action: Log into Help Genie, create a new genie, and name it something useful for internal reference. “123 Maple Street” or “Lot 14 Handover” both work. Homeowners won’t see this name unless you want them to.

Upload every file from Step 1 into the knowledge base. Help Genie accepts PDFs and text files. If a manual isn’t available as a PDF, you can paste its contents as plain text or import the manufacturer’s support page directly by URL.

Once uploaded, give the genie a short brief in the prompt field. Something like:

Step 3: Customise for the Handover Context

This step takes the genie from functional to polished. New homeowners are excited and sometimes anxious. The genie’s tone should match that.

Action: In the customisation panel, adjust the following:

  • Voice and personality. Choose a warm, clear voice. Friendly and calm works well for a residential context.
  • Welcome message. Write something that orients the owner immediately. For example: “Hi, I’m your home guide. Ask me anything about your appliances, warranty, or how things work in the house.”
  • Brand the genie. If you’re a home builder using Help Genie’s white-label option, add your logo and brand colours. The genie becomes part of your handover experience, not a third-party tool.
  • Lead capture (optional). You can set the genie to collect the owner’s name and email at the start of a conversation. Useful if you want to build a post-settlement touchpoint list.

Step 4: Generate the QR Code and Test It

Action: In the deployment section, choose the “Direct Link” or “QR Code” option. Help Genie generates a unique link for your genie. From that link, generate a QR code.

Test the QR code before you print anything. Scan it with your own phone. Ask it:

  • “How do I set the oven clock?”
  • “What does the flashing light on the dishwasher mean?”
  • “Who do I call if the rangehood stops working?”

All three should get accurate, specific answers drawn from your uploaded documents.

If an answer is vague or wrong, go back to Step 2. Either the relevant manual isn’t uploaded, or the model number wasn’t included in your notes document. Fix the source material first. The genie’s answers reflect exactly what you give it.

Step 5: Print, Place, and Include in Your Handover Pack

Action: Print the QR code on a small card or sticker. Something around business-card size works well. Laminating it is worth doing for longevity.

Place the QR code inside the pantry door. This is a natural spot because it’s near the kitchen appliances and owners open it frequently. You can also add a second code to the laundry for washer and dryer questions, and a third near the HVAC panel.

Include a note with the QR code that says something like: “Scan this anytime you have a question about your home’s appliances. It works 24/7.”

Also add the direct link to your digital handover documentation so owners who receive an email copy can access the genie from their phone or laptop.

Verifiable result: You hand over the keys with a QR code placed in the home and the genie link included in the digital handover pack.


Common Gotchas

The genie gives a generic answer instead of a model-specific one. Check that the manual for that specific appliance was uploaded and that the model number appears somewhere in your notes document. The genie needs both to be precise.

The QR code doesn’t work on first scan. Test with two different phones before settlement day. Some older Android browsers handle voice AI links differently. The direct text link is a useful backup included in the email pack.

The homeowner asks something outside the appliance manuals. This will happen. A question about the neighbour’s fence line or local council bins won’t be in the knowledge base. Set the genie’s fallback response to something helpful: “That’s outside what I can help with, but your builder’s contact details are below.” Then add those contact details to the prompt.

You built the genie for one house but want to use it across multiple builds. You can duplicate a genie in Help Genie and swap out the knowledge base documents.
