AI for Product Manuals Compared, Talk to the Manual
Five real ways to make a product manual answer customer questions, compared on accuracy, safety, QR, voice and cost. Pricing as of September 2026.
See your own genie in a few minutes
Put in your website address. We read it and build a genie that answers your customers from it. Free plan, no credit card.
Or talk to a genie now, or ring one on +64 9 886 4856.
Your manual already holds the answer to most support calls. The torque setting, the fault code, the winterising steps. The problem is that nobody reads a 180-page PDF while the machine is beeping at them.
So people search for a way to talk to the manual. Ask a question in plain words, get the answer from page 94, and get told to stop and call a technician when it is a safety issue.
There are five real ways to do that in 2026, and they cost anywhere from US$20 a month to five figures a year. This guide compares them on what matters to manufacturers and dealers. Accuracy from long PDFs, diagrams and tables, safety escalation, QR on the product, voice, languages and the cost model.
We build Help Genie, so weigh our entry accordingly. Every competitor price below links to its source and is dated September 2026.
What matters when a manual starts answering customers
A talkable manual is only useful if people trust it. For physical products, that comes down to seven things.
- Accuracy from long PDFs. Service manuals run to hundreds of pages. The tool has to find the right section, not the nearest similar paragraph from a different model.
- Diagrams and tables. Spec tables and wiring diagrams are where the answers live. Text-only retrieval often splits a table from its header or ignores the picture entirely, a problem VentureBeat describes as shredding the document.
- Safety answers and escalation. Gas, electrical, lifting and brakes should route to a person, with the conversation attached.
- QR on the product. The best moment to answer is when the owner is standing at the machine. A QR code on the unit or in the box gets them there.
- Voice. Hands are greasy, gloved or holding a panel. Speaking the question beats typing it.
- Languages. Owners and technicians do not all read English. The same manual should answer in their language.
- Cost model. Per-resolution pricing rises with every answer. Flat pricing does not.
The five options
1. Help Genie (our product, disclosure applies)
Help Genie builds one genie from your manuals, FAQs, website and price lists. The same genie answers by voice and chat across your phone line, website, email and a QR code you print on the product. It is the first layer of support and hands the rest to your team with context. See how it works for product support.
Best for: Manufacturers, importers and dealers who sell, service or rent physical products and want one conversational manual on every channel.
Honest trade-off: It is voice AI, not a human technician. Deep write-back into a CRM or job system is scoped per deal, not built in.
Pricing: Free plan to build and test. Starter $199 a month for website chat, voice widget and QR. Pro $299 a month adds a phone number, email and lead capture from the same knowledge base. Enterprise $499 a month for multiple genies and sites. Flat monthly under fair use, with no per-call or per-answer meter. Details on the pricing page.
Wins over the rest: One genie on phone, web, email and QR. Voice for hands-busy owners. 40+ languages. Escalations arrive with the transcript.
Where it falls short: Web-only teams that never need phone or QR may find a document Q&A tool cheaper at low volume. Help Genie does not include a help desk, so ticketing stays in the tool you already use.
2. DIY with ChatGPT custom GPTs or Claude Projects
Upload the manual to a custom GPT or a Claude Project and ask it questions. It is the fastest way to test the idea.
Best for: Internal use. A service manager or a small team who want the manual searchable today.
Honest trade-off: A custom GPT runs on chatgpt.com, so customers leave your site and need a ChatGPT account to use it, according to LiveChatAI’s guide. A custom GPT takes up to 20 knowledge files, per OpenAI’s file uploads FAQ.
Pricing: ChatGPT Plus is US$20 a month and includes custom GPTs, per CloudZero. Claude Pro is US$20 a month, or US$17 billed annually, and every plan includes Projects, per Claude’s pricing page.
Wins over the rest: Cheapest start and nothing to install.
Where it falls short: No phone line, no QR routing to your brand, no escalation to your team, no lead capture and no analytics on what customers ask.
3. Document Q&A widgets (Chatbase, DocsBot, CustomGPT.ai)
These tools turn uploaded PDFs and web pages into an answer widget for your website.
Best for: Software-style support where the website is the main channel and volume is predictable.
Honest trade-off: Most price on message credits or queries, so heavy months cost more. SiteGPT’s Chatbase review notes one reply can use 1 to 6 credits depending on the model chosen.
Pricing: Chatbase runs Free, Hobby US$40, Standard US$150 (4,000 credits, voice and telephony included) and Pro US$500 a month, with branding removal an extra US$99 a month. DocsBot runs Personal US$49, Standard US$149 (realtime voice included) and Business $499 a month. CustomGPT.ai runs Standard US$99 for 1,000 queries and Premium $499 for 5,000 queries a month.
Wins over the rest: Fast setup, many file formats, and DocsBot and CustomGPT.ai cite support for 90 to 100+ languages.
Where it falls short: Built for websites first. Physical-product workflows like QR on the unit and dealer escalation are yours to design. Credit caps mean you watch usage.
4. Help-desk AI (Intercom Fin, Zendesk AI agents)
If you already run a help desk, its AI agent can answer from your help centre articles and uploaded content.
Best for: Larger support teams already on Intercom or Zendesk, with a maintained help centre.
Honest trade-off: You pay per resolution on top of seats. The better it works, the more it costs, and ClearFeed reports cost predictability as the most common Intercom complaint.
Pricing: Intercom charges US$0.99 per Fin outcome, with seats from US$29 to US$132 a month on annual billing and phone billed on usage. Zendesk Suite starts at US$55 per agent a month and includes 5 to 15 automated resolutions per agent, per Zendesk’s help centre. Zendesk does not publish the per-resolution rate on its pricing page. Third-party guides report around US$1.50 committed and US$2.00 pay-as-you-go, not confirmed by the vendor.
Wins over the rest: Deep ticketing, routing and reporting. Mature integrations.
Where it falls short: Priced for software-scale support teams. A manufacturer answering 1,000 manual questions a month pays about US$990 in Fin outcomes alone, before seats.
5. Manual and tech-doc platforms (Paligo, Dozuki)
These are where manuals get written and published. Some now add AI answers on top.
Best for: Manufacturers with technical writers, structured content and a documentation budget.
Honest trade-off: These are authoring and training platforms first. The answer layer is an add-on, or still arriving.
Pricing: Paligo Business starts from US$15,000 a year. Its Nexus Answers add-on starts from US$6,000 a year, priced per answer, with general availability targeted for October 2026. Dozuki does not publish pricing. SOPX reports a 2021 price sheet with a 50-user minimum, around US$850 a month, with onboarding billed separately.
Wins over the rest: Answers cite structured source content. Strong for version control, translation workflows and frontline work instructions.
Where it falls short: Enterprise pricing and setup. Dozuki is aimed at the factory floor, not the end customer calling about their unit.

Per-resolution versus flat pricing
Take a dealer network getting 1,000 manual questions a month. On Intercom that is about US$990 in outcomes plus seats. On Zendesk, at the third-party reported rates, it is about US$1,500 to US$2,000 above the included allowance, plus seats.
On Help Genie Pro the price stays at $299 a month, and a launch week that doubles questions does not change it. Run your own numbers in the ROI calculator.
How to turn a manual into a genie
- Upload the PDF. Add the owner’s manual, service manual, warranty terms and FAQ. Or send us your manual and we build a demo genie for you.
- Write out what lives in pictures. If a key answer sits only in a diagram or table, add it as a line of text.
- Test with real questions. Pull twenty questions from your support inbox. Ask each one by voice and chat, and check the answer against the page.
- Set safety rules. Name the topics that always go to a person, like gas, electrical and structural faults. The genie collects details and passes the transcript on.
- Put a QR code on the product. On the unit, the packaging and the warranty card. The owner scans it and talks to the manual on the spot.
- Add the phone line. On Pro the same genie answers your support number, so callers get the same answers as the website.
Hear one first on the demo line, or ring +64 9 886 4856.
Best option by scenario
You want to test the idea this afternoon. A custom GPT or Claude Project, internal only.
Website support only, steady volume. A document Q&A widget like DocsBot or Chatbase.
You already run Intercom or Zendesk with a big support team. Their AI agent, with a close eye on per-resolution spend.
You have technical writers and a CCMS. Paligo, once Nexus Answers ships.
Owners standing at the machine, dealers on the phone, flat cost. Help Genie. See the manufacturing, appliances and equipment pages, or try the equipment demo.
- Owners call the dealer for answers that sit on page 94
- After-hours fault questions wait until morning
- Technicians repeat the same setup steps every week
- The PDF only exists in English
- A QR code on the unit opens the right answer by voice or chat
- The phone line answers from the same manual at any hour
- Safety questions go to a person with the transcript attached
- Owners ask in their own language, 40+ supported
Frequently asked questions
Can AI read the diagrams and tables in my manual? Some tools parse tables better than others, and none should be trusted blind on a wiring diagram. Test your ten most diagram-heavy questions. Where the answer only lives in a picture, add a line of text beside it.
Will a genie give unsafe advice? It answers from your manual, and you set which topics always go to a person. Gas, electrical and lifting questions can hand off with the details already captured.
What does it cost to make a manual talkable? From US$20 a month for a DIY test to five figures a year for a doc platform add-on. Help Genie is free to build and test, then $199 a month for web and QR or $299 a month with phone. See the pricing page.
Do customers need an app or an account? Not with Help Genie. They scan the QR code, open your website or call the number. A custom GPT on chatgpt.com needs a ChatGPT account.
Can dealers use the same genie? Yes. Dealers can share the same QR codes and phone number with their customers, and escalations arrive with the conversation attached. See how it works.
The bottom line
Every option here can answer from a PDF. The difference is where the answer reaches the owner and what it costs when volume grows.
DIY GPTs are for internal testing. Document Q&A widgets suit web-only support. Help-desk AI suits big teams already on Intercom or Zendesk, at a per-resolution price. Doc platforms suit writers with a budget. For a manual that talks by phone, web and a QR code on the product, at a flat monthly price, one genie covers it.
